The team at the Royal Hobart Hospital Research Foundation is egg-cited to welcome absolutely everyone to the 2019 Easter Egg Hunt and Family Picnic at the Royal Tasmanian Botanical Gardens, an egg-cellent family day, presented in partnership with Salamanca Fresh.

As a BIG, but fun-filled day we are committed to ensuring all of you have read our Terms and Conditions before joining us on Friday, so we have bundled these up, alongside some FAQs, all in one convenient place.

FAQs

Access Hours

Gates for general access to the Royal Tasmanian Botanical Gardens are open from 8.00am until 5.00pm

Gates to the RHH Research Foundation Easter Egg Hunt and Family Picnic Event will open at 10.00am on Friday 19 April 2019 and the event is expected to conclude no later than 2.00pm. 

Parking and Making Your Way to the Venue

Please note there is strictly no parking at the lower gate entrance into the Botanical Gardens (ie near the Derwent River on the Cornelian Bay side).  We need ease of access to this area in order to accommodate any first aid entry/exit requirements and appreciate your understanding of the need for this.

Guests are advised to observe all parking signs throughout the area – there are several ‘no standing’ zones and we would be so disappointed if your fabulous day out ended with a parking infringement!  We’d much rather you saved that money to support local medical research, so why not hop onto our free shuttle bus that leaves from the Regatta Grounds at regular intervals from 9.30am.

Shuttle Bus 

There will be a free Shuttle Bus operating from the Regatta Grounds to and from the Royal Tasmanian Botanical Gardens from 9.30am to 2.00pm.

Arrive with Plenty of Time

Once you arrive into the Botanical Gardens from the Main Gate, there will be two entries into the RHHRF’s Easter Egg Hunt zone with signs and volunteers helping you to find your way.  Make your way toward the brick wall that leads into the Japanese Gardens area.

The TOP ENTRANCE through that wall will be for those who have already purchased a ticket. The LOWER ENTRANCE through that wall will be for those who need to purchase tickets on the day. These entries will be clearly signed.

The first egg hunt will be for 3yo children and commences at 10.45am.  To enable entry and identification of age for children from 3 – 13 years of age at Egg Hunt HQ, you are encouraged to arrive with plenty of time to access and settle in, particularly if you have not pre-purchased tickets to this event.

Egg Hunt HQ

A central contact point will operate within the Egg Hunt Zoneduring event hours (ie from 10.00am until 2.00pm).  This will be a clearly signed point of coordination known as Egg Hunt HQ.  This is the central point for any queries or concerns, including matters associated with lost property.

First Aid

St John’s Ambulance will be onsite in a clearly identifiable position close to Egg Hunt HQ.  Guests’ assistance in keeping footpaths clear of picnicking paraphernalia in this area through to the lower Gardens River Gate would be most appreciated should ease of access be required.

Egg Hunt Times

  • 10.45am – 3 year olds (with one Responsible Person who does not actively hunt)
  • 11.05am – 4 year olds (with one Responsible Person who does not actively hunt)
  • 11.25am – 5 year olds
  • 11.40am – 6 year olds
  • 12.15pm – 7 year olds
  • 12.30pm – 8 year olds
  • 12.45pm – 9 year olds
  • 1.00pm – 10 and 11 year olds
  • 1.15pm – 12 and 13 year olds

Please note that for safety reasons, only those children aged between 3 and 13 years of age are permitted to Hunt.  Any child who misses the Egg Hunt for their age group will not be permitted to Hunt with older children – but please see comments below re our Smaller Egg Hunt Field and be reassured that the Easter Bunny is promising a visit with loads of Cadbury Eggs for all of our guests.

A Smaller Egg Hunt Field

For safety reasons, children who miss the timepoint for the Egg Hunt of their age group will not be permitted to hunt with older children in the main Egg Hunt Field, however they may be accommodated in the Smaller Egg Hunt Field.

This Smaller Egg Hunting Field is also available for those children who may have allergies or any other special needs.  If you wish to make use of this space, please make contact with Egg Hunt HQ so that we can assist you with this.

To assist in effectively managing allergies, you are welcome to bring alternative items for use in hunting (but these may be used only in this Smaller Egg Hunting Field), otherwise the RHHRF is happy to make available the Cadbury eggs used in all other Egg Hunts for children between 3 and 13 years of age who have an eligible ticket for entry to this event.

Quiet Area 

There will be a designated area away from the hustle and bustle of the event where children (under the supervision of their grown-up) can chill out and do some colouring-in or read some books.

Salamanca Fresh Snack Boxes

Salamanca Fresh will have snack boxes available for purchase to add to your picnic.  These boxes include some fruit, cheese and a drink – oh ok, and we’ll pop in an Easter Egg too!  All proceeds from sale of these donated Snack Boxes will further assist local medical research

Food and Drink

Food vendors at the event are Wattlebanks and Coburg & Co, with coffee from Que Sera Sera. Patrons are also permitted to bring their own picnics and of course the kiosk and Succulent Restaurant will be open at the Gardens too!

Kids Activities 

Activities for kids include face painting, a craft corner, zorbballs, sumo suits, Giant Jenga and Giant Connect 4, the Optus Score Board, egg and spoon races, hopscotch and fabulous Easter-themed entertainment from our great friends at the ExitLeft Performance Academy. Together with costumed characters, Caramelo Koala and Freddo, we have it on good authority that the Easter Bunny will be joining us too!!

Weather

The Easter Egg Hunt will not be cancelled in the event of inclement weather. No ticket refunds will be issued. However, in the event of high winds where patrons may be at risk, at the discretion of the Royal Tasmanian Botanical Gardens, the event may be cancelled. If this occurs prior to event commencement, all patrons who have purchased tickets online will be notified by email.

The Really Important Requirements/Restrictions

All children must be under the effective supervision of a ticket-holding adult during all stages of the event

The Egg Hunt Zone is subject to all normal requirements of activity within the Royal Tasmanian Botanical Gardens.  For the purpose of the Easter Egg Hunt and Family Picnic Day, the space used for the RHH Research Foundation’s event will be a smoke and alcohol-free zone from 8.00am until 2.00pm.

Please listen to all Royal Hobart Hospital Research Foundation staff and volunteers as they give directions.

Terms and Conditions

  1. Cadbury Easter Egg Allergen statement – contains milk and soy.  May contain traces of wheat, egg, peanuts and tree nuts.
     
  2. All participants in the Hunt must be between the ages of 3 – 13.
     
  3. All participants must have an official Hunt entry stamp, clearly marked on their hand.  These stamps are placed on the hand by a RHHRF volunteer at Egg Hunt HQ before children commence Hunting.
     
  4. Participants may only enter one Hunt, determined by their age at their last birthday.
     
  5. Hunt entry stamps will only be issued to children who are represented by persons 18 years and over who are the parent, legal guardian or person responsible for the child(ren) entering the Hunt (the “Responsible Person”).  
    One Responsible Person must accompany each child aged 3 and 4 years old during those Hunts.  The Responsible Person is not permitted to help gather eggs in these Hunts - they are there for moral support, offering encouragement, guidance and lots of delight at all the egg-citement!
     
  6. Anyone under the age of 18 must be accompanied to the event by an adult and that adult must maintain full and effective supervision at all times.
     
  7. By receiving an entry stamp for the child(ren) under their care, the Responsible Person acknowledges and agrees that by allowing the child(ren) to participate in the Hunt:
    • i. Subject to RHH Research Foundation’s statutory obligations, they accept risk and liability which may result from such participation including without limitation injury to the child(ren);
    • ii. To the extent permitted by law, and subject to RHH Research Foundation’s statutory obligations, RHH Research Foundation will not be liable to them in contract, statute, tort (including negligence) or otherwise for any loss, cost, expense, injury or damage howsoever arising (including from negligence) as a result of the participation of the child(ren) in the Hunt;
    • iii. They consent to the child(ren) receiving any urgent medical treatment that a qualified medical authority in attendance at the Hunt may deem necessary and appropriate in the event that the Responsible Person cannot be located;
    • iv They consent to the use by RHH Research Foundation of the name, image or photograph of the child(ren) for event promotional purposes before, during or after the Hunt;
    • v. They accept full responsibility for the safety and the personal possessions of themselves and the child(ren) participating in the Hunt; and
    • vi. They shall (and they shall also ensure the child(ren) under their care will), abide by all rules and directions issued on the day of the Hunt by the RHH Research Foundation, the Royal Tasmanian Botanical Gardens any other representatives of the organisers/volunteers of the Hunt.
       
  8. Certain laws provide non-excludable statutory guarantees, conditions or warranties for the supply of certain goods or services.  Nothing in these Terms and Conditions is to be taken to exclude, restrict or modify any guarantee, condition or warranty that RHH Research Foundation ABN 32 255 262 915 is prohibited by law from excluding restricting or modifying. If such a statutory guarantee applies to this agreement and RHH Research Foundation breaches it, RHH Research Foundation accepts liability for such breach.  All other warranties or representations are excluded.
     
  9. Weather - the Easter Egg Hunt will not be cancelled in the event of inclement weather. No ticket refunds will be issued.
